Creating an event in MePass sets up the basic event information, RSVP method, date and time, venue, guest check-in method, and public access settings.
All newly created events start as Draft. This allows you to complete the event setup before publishing it to guests.
1. Open Create Event
From the MePass Admin panel:
Events → New Event
Complete the event information before clicking 创建.
2. Event Details
命名 #
Enter the name of your event.
例子:
Annual Dinner 2026
Slug #
The slug is used as part of the event’s public invitation or RSVP URL.
It is normally generated based on the event name.

Event Type #
Choose how guests will be registered for the event.
There are two event types:
Public Registration RSVP Event
Use this when guests are allowed to register themselves using a public registration link.
The system creates the participant record when the guest registers.
Suitable for events such as:
- Seminars
- Workshops
- Open days
- Public events
- Events where guests register themselves
To accept public registrations, the event must eventually be:
Published
和
Enable Public Registration = ON
Invite-only RSVP Event
Use this when the organiser controls the guest list.
Guests are added or imported into MePass before the event and can then be given their individual RSVP invitation.
Suitable for:
- Weddings
- Annual dinners
- VIP events
- Corporate dinners
- Member-only events
- Private functions
重要: Event Type cannot be changed after the event has been created.

A newly created event starts as:
Draft
You complete the event setup first and then use the Publish action when the event is ready.
Typical event statuses include:
Draft → Published → Closed → Archived
Timezone #
The default timezone is:
Asia/Kuala_Lumpur
Normally this should remain unchanged for events held in Malaysia.
3. Date & Time
Date Setup #
Choose either:
Single date event #
Use this for a normal event held on one date.
例子:
Annual Dinner — 15 December 2026
Enter:
- Start At
- End At
- RSVP Opens At
- RSVP Closes At
- Check-In Opens At
- Check-In Closes At
For a single-date event, separate Event Dates setup is not required.
Multiple dates / sessions #
Use this when guests need to choose between different dates or sessions.
Examples:
- Ramadan buffet with multiple dates
- Training sessions
- Workshops with several time slots
- Multi-day programmes
When creating the event, enter:
- Overall Start At
- Overall End At
- RSVP Opens At
- RSVP Closes At
- Check-In Opens At
- Check-In Closes At
MeCard 的 Overall Start At 和 Overall End At define the overall event period.
They are not the individual guest-selectable sessions.
After creating the event, configure the actual selectable dates or sessions under:
Event Dates
4. Venue
Venue Name #
Enter the event venue.
例子:
Grand Ballroom
Venue Address #
Enter the full venue address.
This information can be used throughout the event’s guest-facing information.
5. Public Access
This section controls capacity, walk-ins, table finder, check-in method and public registration.
Capacity #
Enter the maximum number of guests allowed for the event.
This is optional.
Leave it blank if the event does not require an overall capacity limit.
Allow Walk-In Registration #
Turn this ON if your event allows guests to be registered at the event without being registered beforehand.
Leave it OFF if walk-in registration is not allowed.
6. Check-In Mode
Choose how guests will check in on the event day.
There are two modes.
Event Pass Check-In #
Each guest receives an event pass containing a unique QR code.
At the event:
- Guest presents the Event Pass QR.
- Staff logs in to the MePass scanner.
- Staff scans the QR code.
- MePass completes the check-in.
- Relevant guest and table information can be shown.
Use this when the organiser wants staff-controlled check-in.
Guest Phone Check-In #
Instead of staff scanning each guest’s Event Pass, the organiser displays the event’s check-in QR code at the venue.
The guest:
- Scans the event check-in QR using their own phone.
- Enters/verifies their phone number.
- MePass identifies the guest.
- Guest completes the check-in.
- Table information can be displayed where applicable.
Use this when you want guests to check themselves in using their own phones.
7. Group Check-In Mode
This setting controls how a registered group is handled during check-in.
It does not change the event type.
Choose one of the following:
Simple group check-in #
One main contact represents the group.
When the group is checked in, the group is handled together.
Best when you do not need every group member to have an individual guest identity.
Simple = one contact checks in the whole group.
Individual guest check-in #
Each person inside the group is treated as an individual guest.
Each group guest requires their own:
- 命名
- Phone number
This allows individual guest-level attendance/check-in handling within the group.
Individual = each group guest has their own identity and check-in record.
8. Enable Table Finder
Turn Enable Table Finder ON when guests should be able to retrieve their assigned table information.
This is useful for events such as:
- Weddings
- Annual dinners
- Corporate dinners
- Banquets
- Seated functions
Table and seating assignments can be configured after the event has been created.
9. Enable Public Registration
This option is available for:
Public Registration RSVP Event
Turn it ON when guests should be allowed to register themselves through the public registration link.
Remember:
Public Registration enabled by itself does not make registration available.
The event must also be Published.
Therefore:
Published + Enable Public Registration ON = Public registration available
For an Invite-only RSVP Event, guests are instead added or imported by the organiser.
10. Public Registration Token
The Public Registration Token is generated automatically by MePass.
You do not need to manually create or edit it.
After the event has been created, use the appropriate Registration Link / Public Access action from the event to obtain the guest-facing link.
11. Click Create
Once the basic settings are complete, click:

MePass will create the event as a Draft.
Creating the event does not mean the event has been launched to guests.
12. What Happens After Clicking Create?
The next page depends on the Date Setup selected.
Single date event #
MePass takes you to the event’s edit/setup area.
You can continue configuring the event.
Multiple dates / sessions #
MePass takes you to:
Event Dates
Add the actual dates or sessions that guests will be allowed to select.

13. What to Do After Creating the Event
Creating the event is only the first stage.
Before publishing, continue setting up the event as required.
Typical setup includes:
1. Event Dates
Required when using Multiple Dates / Sessions.
2. Design & Form
Configure the guest-facing event design and relevant RSVP/registration information.
3. Guests
For Invite-only events, add or import the guest list.
This can include individual guests and group guests.
4. Tables
Create tables and assign guests where table seating is required.
5. Public Access
Review the registration, RSVP and check-in links/settings.
6. Check-In Setup
Confirm whether the event uses:
- Event Pass Check-In
- Guest Phone Check-In
and confirm the required:
- Simple group check-in
- Individual guest check-in
7. Review
Check the event information, dates, guest setup, forms, design and operational settings.
8. Publish
When everything is ready:
Events → Publish
Publishing changes the event from Draft to Published.

For an event where guests register themselves:
Create Event
→ Select Public Registration RSVP Event
→ Configure event details
→ Configure date / sessions
→ Configure Design & Form
→ Turn Enable Public Registration ON
→ Review Public Access
→ Publish Event
→ Obtain the Registration Link
→ Share the link with guests
→ Guest registers
→ MePass creates the participant
→ Guest attends
→ Guest checks in using the selected Check-In Mode
15. Invite-only RSVP Event Workflow
For a controlled guest-list event:
Create Event
→ Select Invite-only RSVP Event
→ Configure event details
→ Configure date / sessions
→ Configure Design & Form
→ Add or bulk import guests / group guests
→ Assign tables if required
→ Publish Event
→ Send/share RSVP invitations with guests
→ Guest responds to RSVP
→ Guest attends
→ Guest checks in using the selected Check-In Mode

Important
The main decisions when creating an event are:
1. Who can register?
Public Registration or Invite-only.
2. Is it one date or multiple selectable dates?
Single Date or Multiple Dates / Sessions.
3. How will guests check in?
Event Pass Check-In or Guest Phone Check-In.
4. How should group guests be handled?
Simple Group Check-In or Individual Guest Check-In.
After these are selected, create the event as a Draft, complete the remaining event setup, review everything, and then Publish the event when it is ready for guests.
